You have a club in SwimWin and an owner account. Here is the order that works. Each step links to the article that covers it properly.
1. Create the season
Everything hangs off a season — memberships, registration windows, dues, the schedule, the gate. A club with no current season has a front desk that says "season has not started" to every family that walks up.
Go to Seasons, create one, set the start and end dates and the registration window, then make it current. See Seasons.
2. Get your people in
Three routes, and most clubs use more than one:
- Import last season from a spreadsheet — see Importing your club.
- Open registration and let families enter themselves. This is the one that scales. See Registrations.
- Add households at the desk for the families who will not do it online.
3. Publish your waivers
Nobody gets in the water without a signed, current waiver, so publish the documents before you open the doors. A waiver published with a material change invalidates every existing signature, which is correct and also very loud — do it before the season, not during it. See Waivers and forms.
4. Set the money up
Decide what you sell and what it costs — membership types, each season's prices and capacity, and the registration form that sells them — under Club setup. See Membership plans and registration forms. Then connect payments: How money moves and Dues and billing.
5. Hand out roles
Nobody should be sharing the owner login. Give the registrar registrar, the
treasurer treasurer, the front desk front_desk, and your coaches coach.
Roles are dated and audited, so October's handover is a permission change rather
than an archaeology project. See Roles and permissions.
6. Open the doors
Point families at your club site, open registration, and work the desk. New families use the public join form; families who are already members register for the new season from their portal, with the price in front of them. See The front desk.
7. Check the club's settings
Guest-pass limits, the front desk's override ceiling, quiet hours and the safeguarding ages are under Club setup → Club settings. The defaults are safe; read them once before the season. See Club settings.
