What you owe and why, paying online, saving a card, and what a hold means.

What works today

Your family home's Balance card shows what you owe, what is going to be charged next and when, and whether the account is on hold. The number is the same number the club's treasurer sees — there is no separate list.

Paying online

If you are the adult who manages the household, the What I owe card has a Pay now button whenever there is a balance. It takes you to Stripe's secure payment page for the whole amount, and brings you back to your club's site when you are done.

When you come back, the page says Waiting for confirmation until Stripe has confirmed the payment to the club — usually a few seconds. Your balance changes once it is booked, not before. Do not pay again while it is waiting: if you paid, it will appear. If you left Stripe's page without paying, nothing was charged.

On Stripe's page you can pay by card or from a US bank account. A card payment is confirmed in seconds. A bank payment takes a few business days to clear: the page says Your bank payment is processing, your balance still shows the amount until the money arrives, and the receipt is emailed when it clears. If the bank turns it down, you are emailed that it did not go through and nothing is taken.

While a bank payment is processing, the What I owe card says so — for example $200.00 bank payment processing — usually 4 business days — on the web and in the app. Pay now then offers only the part of the balance that payment does not cover; if it covers the whole balance there is nothing to pay until it clears, and the club will not start a second payment for the same money.

Other adults on the household can see the balance but not pay it or change the cards — that belongs to the household's manager.

If the club emails you a pay link, it opens your club's site, asks you to sign in, and shows what you owe right now — then Pay now as above. The amount is whatever is owed when you click, not what the email said.

Saving a card or bank account

Add a card on the same card opens a form that Stripe runs. The card number goes straight to Stripe; the club keeps only the brand, the last four digits and the expiry. Add a bank account works the same way: Stripe checks the account with your bank on the spot, and you authorize the club to debit it. The newest card becomes your default, and the default is what autopay uses. You can make another card the default, or remove one, from the same list.

Asking why a charge is what it is

Under Recent charges on the same card, each charge has an Explain button. The in-app assistant reads the charge back — its lines and the arithmetic recorded when it was posted, such as a part-month proration — and explains the number in plain words.

Paying offline

Cash and bank transfer still work. Pay the club the way you do now — the club records it against your account and the balance and statement stay in agreement.

The states your account can be in

StateWhat it means
SquareNothing owed
Past dueA balance is overdue
On holdThe club has frozen the account
Over the credit limitThe balance has passed the club's cap

Past due does not stop you swimming

Past due is yellow at the gate, not red. A 5:45am queue is the worst place in the world to collect a debt, so the front desk sees it, mentions it, and lets you in.

It is red where money is actually committed — entering a meet, where entry fees are remitted and non-refundable. Nobody is entered into a meet on an overdue account, because the club cannot get that money back.

Over the credit limit works the same way: fine at the gate, blocking at the snack bar and the store.

On hold is different. A hold is a deliberate act by the club and it is red. See the front desk or the treasurer.

Receipts

A payment recorded against your account produces a receipt, and it is emailed to every adult in your household who has Gets billing email switched on — card, bank or cash at the desk alike. If a card payment is declined, the same people are told, with the bank's reason, and nothing is taken. The switch is on for whoever pays the bills in the household, unless somebody turned it off; a household admin can switch it on or off for any adult.

Disputing something

Talk to the club's treasurer. SwimWin does not hold your money and cannot adjust a club's charges.
